Overview Madix produces store fixtures and display systems for retailers across the United States. They photograph and document the pre-shipping condition of shipments to protect against damage claims. Their previous image capture system relied on rugged barcode-enabled cameras that uploaded photos via FTP to an internal network share — a setup that had become difficult to scale.

Challenges with the Legacy System

• Outdated FTP-based image processing tied to internal infrastructure
• Limited categorization (images could only be grouped by a single folder-based field)
• Required VPN access for remote viewing, making retrieval slow and cumbersome
• Hardware nearing end-of-life with no clear path to scale

Solution: TallyFlow Capture (formerly PhotoTag) SDG Systems delivered a white-labeled, cloud-based version of TallyFlow Capture tailored for Madix. The solution enables field teams to capture photos with barcode and RFID data, automatically sync them to the cloud, and make them searchable and secure across the organization.

Challenges with Manual Paperwork Before adopting the solution, MKB relied on manual processes to manage shipping and delivery documentation. Field personnel often had to call the office to check order status. Receipts were physically mailed to accounting, causing delays in payments and occasional lost documents. Organizing and retrieving specific paperwork was time-consuming and error-prone.

Solution: TallyFlow Capture (formerly PhotoTag) MKB integrated TallyFlow Capture to digitize and organize their shipping and delivery documentation. Team members capture photos of paperwork in the field and tag each image with relevant identifiers such as bill of lading numbers, shipment locations, or work order numbers.

Solution: TallyFlow Network of Hope implemented TallyFlow using a barcode-based system (chosen over RFID due to item proximity and volume). The system uses three types of barcodes:

• Zone barcodes – Identify specific shelf locations
• Category barcodes (cat:) – Identify food types for reporting and organization
• Item barcodes – Uniquely identify each case of food

Workflows Enabled

• Stocking: Volunteers scan zone, category, and item barcodes to enroll new inventory and record initial shelf location.
• Distribution: Staff use the Categories by Zone report to create pick lists and efficiently pull items. Items are scanned out to a distribution area.
• Put-Back: Surplus items are scanned back into specific zones at the end of distribution.
